The problem
The delivery status lived in
everyone’s head but the system’s.
Statuses lived in drivers’ heads and dispatchers’ call logs. Customers phoned in for updates, dispatch phoned the drivers, drivers phoned back — the team spent hours a day playing telephone between people who each had one piece of the picture.
Asking drivers to fill out an app was tried and abandoned. Drivers don’t open apps mid-route. They do, however, answer WhatsApp — instantly, every time.
The system

“Dropped at Andheri hub” — typos, shorthand, voice notes, photos of the POD. Whatever they’d naturally send.
The AI reads it and matches the shipment
The message is parsed, the order is identified, and the status change is understood — no forms, no dropdowns, no training.
The CRM updates itself
Status, timestamp, location, proof of delivery — recorded automatically. Dispatch sees the whole fleet live, without making a single call.
The customer is notified automatically
Out for delivery, delivered, delayed — customers hear it from the system the moment it happens, not from a call-back an hour later.
Customers ask anytime, the bot answers
“Where’s order #4821?” gets a live, accurate answer in seconds — at 2 PM or 2 AM — instead of a hold queue.

Mapped the delivery lifecycle
Pickup, hub transfers, out-for-delivery, delivered, failed attempts — every state a shipment can be in, and who needs to know when it changes.

Connected WhatsApp to the CRM
WhatsApp Business API on the dispatch number, wired straight into the shipment database. Drivers kept the exact workflow they already had.

Taught the AI to read driver-speak
Real messages are messy — typos, half-sentences, photos, voice notes. The parsing layer was built and tested on the messy version, not the ideal one.

Rolled out route by route
Started with a handful of drivers, watched the edge cases, tightened the automation, then switched the whole fleet over.
